JOB TITLE:              ADMINISTRATIVE ASSISTANT II – BILINGUAL PREFERRED
LOCATION:             6TH MUNICIPAL DISTRICT

SALARY                   ENTRY LEVEL - $57,688
                                    PLUS BILINGUAL STIPEND

JOB SUMMARY AND DUTIES:
 
  • Provide administrative support to the Presiding Judge and judges assigned to the Division;
  • Email lawyers and litigants regarding procedural matters in the litigation and email litigants case information in a timely manner;
  • Answer basic questions about Zoom and remote proceedings, such as providing Meeting ID and Passcode information, and be able to communicate basic remote connection instructions to individuals via phone or email for all court calls;
  • Manage dockets as directed;
  • Interface with the Office of the Interpreters, Sheriff’s Office, Official Court Reporters, and the Clerk’s Office to manage litigation and court-related matters for the Division;
  • Assist the Presiding Judge, Court Administrator, Program Coordinator, and Senior Division Attorney with ongoing educational trainings, programming, compliance with time standards, case management dates and docket statistics;
  • Provide backup for other Presiding Judge’s Office administrative staff as required;
  • Communicate in fluent English and Spanish as required;
  • Perform such other duties as directed by the Court Administrator and Presiding Judge.

JOB RERQUIREMENTS:
 
  • Bachelor’s Degree preferred;
  • Knowledge of how cases proceed through the court system and Clerk of the Circuit Court forms;
  • Excellent computer skills;
  • Excellent written and oral communication skills in fluent English and Spanish;
  • Excellent interpersonal skills;
  • Proficient with Adobe Acrobat Reader and Adobe Fill and Sign;
  • Proficient with navigating through high volumes of emails;
  • Ability to work cooperatively and integrate with legal and non-legal personnel.

Working Conditions/Physical Requirements:
 
  • On a continuous basis, sit at a desk in front of a computer screen for long periods;
  • Intermittently twist to reach equipment or supplies surrounding desk;
  • Perform simple grasping and fine manipulation;
  • Strength to lift files weighing up to 20 pounds;
  • Use telephone and computer keyboard on a daily basis;
  • Walk short distances.
